Stock

Stock is counted per store. Products are grouped by their menu category — collapse categories you're not working on. Counts drive availability everywhere, immediately: at zero, an item shows SOLD OUT on online ordering, disappears from the kiosk, and can't be placed by guests. The till shows a SOLD OUT badge but staff can still ring the item through — they can see the shelf.

Counting a product

Enter the count and (optionally) a Low at threshold, then Set. Available = your count minus everything sold since you set it, across every channel — including extras sold as add-ons (upsell items count too). Voided lines don't count. Re-counting replaces the number cleanly: sales before the count are already reflected in what you counted.

Tracked / Unlimited ∞

One toggle per product and per pool. Unlimited means sales don't reduce anything and the item never sells out from stock. Your last count is remembered — switch back to Tracked and it picks up where it left off, including sales made in between.

Shared pools

Use a pool when several products share one physical stock — 250 sandwich rolls feeding every sandwich on the menu. Click Pool this category on a category, give it the shared count, and every product in that category joins the pool. Any member sale reduces the pool; when it hits zero, every member sells out at once, whatever their own counts say.

A product's availability is always whichever runs out first — its own count or its pool. A product can only belong to one pool (a roll can't come from two places); trying to pool it twice is rejected with a message.

Deleting a pool never touches products — members just fall back to their own counts.

Daily limits (advanced)

Sometimes the constraint isn't what's on the shelf — it's how many you're willing to sell in a day. Daily limits caps a product at a maximum per day: only 30 chicken sandwiches a day, whatever the fridge says. The section is collapsed by default and limits are opt-in per product — nothing changes for products you haven't added a limit to, so turning the feature on for one item never touches the rest of the menu.

Pre-orders count against their own date. If 10 sandwiches are pre-ordered for 13 June, 13 June's allowance drops from 30 to 20 — today's is untouched. When 13 June arrives, every ordering surface (online, collection, delivery, kiosk) starts the day with what's genuinely left after pre-orders. Orders without a booked time (walk-ins, kiosk, till, ASAP online) count against the day they're placed. Days roll over at the store's local midnight.

Overrides. Pick a date and set an override to replace the limit for that date only — 20 on the 13th, back to 30 every other day. Clearing the override restores the standing limit. Use the date picker to review any day's used and remaining, past or future. The status column shows each product's state on the chosen date — Active, Disabled, or Sold out for the day — with an Override badge when the day's cap differs from the standing limit, and the row updates the instant you save.

At zero remaining for today, the product shows SOLD OUT to guests exactly like zero stock, and guest orders past the cap are politely refused — including pre-orders for a date that's full. The till is never blocked (staff can see the counter, and the till must keep working offline), and Deliverect orders are never refused — but everything they sell still counts against the day. A daily limit works alongside a stock count: whichever runs out first stops guest sales. Switching a limit Off remembers its value for re-enabling later.

Low stock

Set Low at on a product or pool to get an orange LOW state at that level. Alerts appear on the till, the kitchen display and in here — never to customers, who only ever see available or sold out.

Two ways to be sold out

Everything shows one badge — Sold out — but there are two ways to get there, and the hover text on the badge tells you which. Stock ran out is automatic: a tracked count (or pool) hit zero, and the item comes back the moment you re-count. Marked sold out is a deliberate switch — long-press the product on the till, or use the Products page — that stays off until someone flips it back on sale, whatever the count says. Because stock is per store, a multi-store organisation sees "Sold out · 1/3 stores" on the Products page rather than a blanket sold-out. Clicking a badge there (or on a menu page) opens a quick stock dialog, so you can re-count or put it back on sale without coming back here.

Either way, every screen updates within a second of the change — the till, this page, the kiosk and online ordering all show the same Sold out state at the same time.

Asking the AI assistant

The AI assistant can draft stock changes for you to approve — re-counts, sold out or back on at a particular store, daily limits and one-day caps — once an owner raises Sold out & stock to Create & edit under Settings › AI assistant. Each change goes through the same review, is recorded under Team → Activity, and can be undone.

Not the same as pacing

Pools are stock — how many you physically have. Settings › Pacing is pace — how many the kitchen can make per time slot. A store can have plenty of rolls and still throttle orders at lunch.
