Managing products

The Products page is your organisation's catalogue — everything a product is: price, tax, accounting group, prep station, photo, availability and where it can be sold. Which menus and categories a product is sold on is managed on the Menus pages; the two link to each other.

Finding products

  • Search by name from the header.
  • Tabs: All / your category names / Sold out / Not in a menu / Archived. The category tabs come straight from your menu categories across all menus (the same name on two menus is one tab), and a tab shows every product sitting in a category of that name on any menu. Not in a menu is handy for catalogue hygiene: products you've created but never placed anywhere.
  • The accounting-group filter narrows any tab to one group — or to No group, for finding products still to be assigned (see Accounting groups).
  • Click the PRICE header to sort by price — ascending, descending, then back to normal order.
  • The USED IN column shows every menu · category a product appears in; click one to jump straight into that menu.

Status badges

One term everywhere — Sold out — with the cause on hover:

  • Sold out (marked) — deliberately taken off sale with the row's LIVE switch, or a long-press on the till. It stays off sale until someone puts it back.
  • Sold out (stock) — the product's tracked stock has hit zero, so it sold out by itself. Stock is per store while this page is org-wide, so on a multi-store organisation the badge reads "Sold out · 1/3 stores" — a partial outage isn't a total one.
  • Archived — retired from sale entirely; only ever shown on the Archived tab.

Click a Sold out badge to fix it on the spot: a small dialog shows the count for each store with the same controls as Stock — set the count and low-stock warning, switch between Tracked and Unlimited ∞, or mark sold out / put back on sale — with a link through to the full Stock Control page.

Editing

Click a row to open the edit drawer. Every setting in the drawer commits through the one Save button — change just the station, just the menu category, or any single field and Save lights up; nothing is written until you press it. (Only Mark sold out, the photo and availability windows act immediately — they're operational switches rather than settings.)

  • Name, price, tax, description and allergens save as a new product version — historic sales keep the version they were sold under, so reports never rewrite themselves.
  • Description shows on guest menus, online ordering, exports and AI drafts.
  • Allergens — tap the UK FSA 14 pills; select only what's actually in the product. Structured allergen data flows to guest channels, CSV exports and (in future) delivery-platform integrations and filtering.
  • Accounting group — how the product's sales are classified in reports and the Xero cash-out. Every product should have one — see Accounting groups.
  • On menus — put the product on menu categories (or take it off) right here, including creating a new category inline, without visiting the Menus pages.
  • Sales interfaces — where the product can be seen: Till, Web app, Kiosk. A product appears on a channel only when both the menu's channels and the product allow it — so you can share one menu everywhere but keep an individual product off the kiosk. Untick everything and the product is hidden from every channel.
  • Order types — how it can be fulfilled: Dine-in, Takeaway, Collection, Delivery. A guest ordering an excluded type can't see or order the product — the server enforces it, not just the menu display. The till is staff-operated, so till orders are never refused by the server: unticking Till hides the product from till menus, but staff aren't blocked the way guests are.
  • Station routing — pick a prep station (or "By kind": dishes → kitchen, drinks → bar). The station decides where the item prints and whether it appears on kitchen display screens (each station's KDS switch lives in Settings › Printers & routing). You can also assign many products to a station at once from that page's Assign products drawer.
  • Dine-in coursing — whether the product joins the till's course structure: Automatic (dishes join courses; drinks and BAR-routed products sit in the drinks block, plus any exclusions set in Settings › Coursing), Always in courses, or Never.
  • Photo — JPEG/PNG/WebP/etc; every upload is automatically cropped to the 3:2 tile shape and downscaled in your browser before upload, so tiles stay consistent and uploads are fast. No photo = the initial-letter fallback (never a broken image).
  • Modifier groups are summarised here; manage them on the Modifiers page.
  • Availability windows — restrict a product to times of day/week (e.g. breakfast items 07:00–11:00). No windows = always available.
  • The footer's Mark sold out today / Put back on sale matches the row switch; Duplicate product and Archive product live at the foot too.

The same drawer opens when you click a product row inside a menu on the Menus pages — menus are a full catalogue workspace, and either way you're editing the one master product record.

Duplicating

Duplicate product (foot of the edit drawer) copies the product as "Name (copy)": current name, price, tax, description, allergens, dietary tags, availability windows, accounting group, sales interfaces, order types, station, photo and modifier groups. Stock levels and sales history are never copied, and the copy always starts on sale. From this page the copy isn't placed on any menu; duplicating from inside a menu category also adds the copy to that category. The drawer switches to the copy so you can rename and adjust it immediately.

The LIVE switch

Each row's switch marks a product sold out (or puts it back on sale) in one tap. Sold-out products disappear from guest channels immediately but stay visible on the till and in menu management (dashed/red styling) so staff can put them back on sale. Till staff can do the same without leaving the till: long-press a product tile for its info sheet — description, allergens, dietary tags — and the Mark as sold out button. Either way, every screen (till, kiosk, online ordering, Stock, Menus) reflects the change within a second.

Bulk edit

Tick the checkbox on any rows (the header checkbox selects everything in view) and a bulk bar appears: set the accounting group, sales interfaces or order types for the whole selection in one go, or Archive them together. On the Archived tab the bar offers Restore instead.

Archiving

Archiving retires a product without deleting it. The product comes off every menu and every sales channel immediately, but nothing is lost: order history and reports keep it, and its menu placements are remembered — Restore puts it straight back on the categories it was on. Archived products live under the Archived tab (they never appear anywhere else); archive from the foot of the edit drawer or the bulk bar, restore from the row, the drawer or the bulk bar.

Creating products

New product + opens the create drawer: name, price, kind (dish/drink), description, tax category, allergens, station — and On menus, so the product lands on its menu categories the moment it's created. After creating, the edit drawer opens so you can set the accounting group and add a photo or availability windows straight away. To add many products at once use CSV import.
