How we handle personal information when you use accentpos.com or get in touch with us.

Who we are

accentpos.com is run by Accent IT Services Ltd, trading as AccentPOS. Company number 09785728, registered in England and Wales. Registered office: Atlantic House, 18–22 Hamilton Street, Birkenhead, CH41 1AL. We are the controller of the personal information described here.

Contact us about privacy at ops@accentpos.com or on +44 1329 836 262.

This policy covers this website and, if you sign up, your AccentPOS account. Information you put into AccentPOS about your own customers and staff is covered by our customer agreement, where we act on your behalf. It doesn't cover other websites we link to.

In short

  • We only collect your contact details when you choose to send them to us.
  • We don't set statistics or marketing cookies unless you allow them.
  • We never sell personal information, and we never put your contact details into our website analytics.

What we collect and why

When you send an enquiry

Our contact and hardware enquiry forms ask for your name, email address, business name and what you'd like help with. Your phone number, type of venue, the equipment you're interested in and a message are optional. With each enquiry we also record the date, your IP address and your browser type, to protect the forms from spam and abuse.

We use your enquiry to reply to you, to talk to you about AccentPOS and, if you decide to go ahead, to set you up as a customer. Our lawful basis is our legitimate interest in responding to business enquiries, or taking steps you've asked for before entering into a contract. We won't add you to a marketing mailing list without your agreement.

When you email or call us

We keep what you tell us so we can deal with your question, on the same basis.

How the website is used

We use PostHog to understand how the site is used: the pages viewed, the buttons and links clicked, your type of device and browser, the website or campaign that sent you, and your approximate location (country and city), which PostHog works out from your IP address.

  • If you haven't allowed statistics cookies, nothing is stored on your device and your visits can't be linked together. Our lawful basis is our legitimate interest in running and improving the website.
  • If you allow statistics cookies, PostHog also stores a random identifier on your device so we can recognise repeat visits. Our lawful basis is your consent, which you can withdraw at any time.

We don't record your screen or what you type into forms, and we don't use analytics to identify you. When you send an enquiry, our analytics record only that a form was sent and, if you allowed cookies, the campaign that brought you — never your contact details.

Campaigns

If you arrive from one of our campaigns (for example a newsletter or an advert) and allow statistics or marketing cookies, we remember that campaign for 90 days and add it to the link when you start a free trial, so we can see which campaigns work. Our cookie policy has the details.

Your cookie choice

Our consent manager, Cookiebot, keeps a record of the choice you make in the cookie banner, with an anonymised IP address and the date, so we can show that we asked. We do this to meet our legal obligations.

If you sign up for AccentPOS

"Start free trial" takes you to signup.accentpos.com. To create and run your account we collect your name, business name, email address and, optionally, phone number, and the details of the people you give access to the Hub. Cloudflare Turnstile checks the signup form isn't being used by a bot. Supabase manages sign-in, and we email you about your account, trial and billing.

When you go live, GoCardless sets up your direct debit. You enter your bank details on GoCardless's own page, and we keep only the references it gives us. We keep invoices for six years, as tax law requires.

Our lawful basis is performing our contract with you, and our legal obligations for tax records. The signup page records, without cookies, that you started signing up and the campaign that brought you.

Who we share it with

We use these service providers to run the website. They handle personal information only on our instructions.

  • Vercel hosts the website (global network, operated from the USA).
  • Railway hosts our content system and its database, where enquiries are stored (Netherlands).
  • Cloudflare stores website images and our database backups (backups in Western Europe) and runs our domain's DNS.
  • Resend delivers enquiry emails to our team (USA).
  • Google Workspace is our team's email, which receives enquiries.
  • PostHog provides our website analytics (EU Cloud, Germany).
  • Cookiebot by Usercentrics manages cookie consent (European Union).
  • Sentry tells us when our servers hit an error, with technical details of the request but not your IP address or cookies (USA).

If you sign up, your account also uses the providers listed in Schedule 2 of our customer agreement, and GoCardless for direct debits.

We may also share information where the law requires it, with our professional advisers, or with a buyer of our business, always under a duty of confidentiality. We never sell personal information.

Transfers outside the UK

Some of these providers are based in, or can access data from, the USA or the European Union. When personal information leaves the UK we rely on UK adequacy regulations — including the UK Extension to the EU–US Data Privacy Framework where a provider is certified — or the UK International Data Transfer Addendum to the European Commission's standard contractual clauses.

How long we keep it

  • Enquiries are deleted from our website database within 12 months of receipt. If you become a customer, what we need becomes part of your customer record.
  • Emails about your enquiry are kept for as long as we need them to deal with it and any follow-up.
  • Backups of the website database are taken daily and kept for up to three months, so a deleted enquiry can remain in a backup until that backup is replaced.
  • Analytics data never includes your contact details. We keep it for as long as it helps us understand how the site is used.
  • Cookies last for the periods in our cookie policy.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal information we hold about you;
  • correct it if it's wrong;
  • delete it;
  • restrict how we use it, or stop using it, including for marketing;
  • give it to you, or another organisation, in a portable format where that applies.

You can withdraw your consent to cookies at any time: change your cookie settings.

To use any of these rights, email ops@accentpos.com. We'll reply within one month, and we may need to confirm who you are first.

If you're unhappy with how we've handled your information, please tell us so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

Keeping it safe

The website is only served over an encrypted (HTTPS) connection. Enquiries are stored in a database with restricted access, and only our team can sign in to our content system.

Changes to this policy

We'll update this page if the way we handle personal information changes. Last updated: 13 October 2026.
