Promotions
The Promotions page manages promotional discount codes — "10% off" or "£2 off" codes that customers enter (or scan) at online checkout. They're a different thing from gift vouchers: a voucher is stored money with a balance; a promo code is a reusable discount rule.
Creating a code
Pick % off or amount off, set the value, and optionally:
- Code — your own wording (
LAUNCH-10); leave blank and one is generated for you (short, no confusable characters). - Starts — a date and time the code goes live. Leave it blank and the code works immediately.
- Ends — a date and time the code stops. Leave it blank for no expiry.
- Only on certain days/times — tick this to add a repeating schedule within the start/end window: the days of the week, a time-of-day window, and (optionally) which order types or channels the code applies to. For example, a code that only works Monday–Friday, 3–5pm for collection. Leave it unticked and the code works throughout its window.
- Max uses — the total number of orders that can use the code. When it's reached the code shows Used up.
- Note — where the code lives ("Spring flyer"), only staff see it.
A note on time zones: the start/end window and the repeating schedule are checked in the store's local time where the code is redeemed. A "Mon–Fri 3–5pm" code means 3–5pm at whichever store the customer is ordering from — so a single org-wide code behaves correctly across stores in different time zones.
How customers use it
At online checkout there's a Promo box in the totals. A valid code shows the discount immediately; expired, not-yet-live, out-of-schedule, used-up or unknown codes get a clear message. Each order can use one code, the discount applies to the food and drink total (a service charge is then calculated on the discounted amount), and everything is re-checked at the moment the order is placed — including the code's schedule against that order's type and channel, so a code can't be used past its limit or outside its days/hours even by two people checking out at once. In the codes table, a code with a repeating schedule shows a small Repeats tag next to its window.
QR codes for print
QR ↗ on any row opens a printable card — the QR encodes the code itself, ready for flyers, posters or table talkers.
Tracking
The Used column counts every redemption (each one is recorded against the order it discounted). Turn off stops a code immediately without losing its history; you can turn it back on later. Discount money appears in Reports under discounts, as usual.
Changing a code with the AI assistant
There's no edit screen for a code, but the AI assistant can change an existing one's start and end dates, maximum uses, note and amount off ("extend SUMMER10 to the end of August", "make it 15% off"). A new amount always gets the full review. To discount different items, create a new code. Every change can be undone.
